How to attach fulfillment photos to Shopify orders

A practical workflow for matching packing photos to Shopify orders, including offline capture, automatic upload, and order-level retrieval.

A fulfillment photo is most useful when it stays connected to the Shopify order it documents. If warehouse staff take pictures with an ordinary camera app, somebody still has to identify the order, transfer the files, rename them, and decide where they belong. CodaScan moves that connection to the moment of capture: identify the order first, take the required photos, and let the app attach them when connectivity is available.

Why order-level photo evidence matters

Packing photos can answer practical questions: which items were visible before the box was closed, whether a serial label was present, how a fragile product was protected, or what condition the parcel was in at dispatch. The photograph only becomes operational evidence when the order relationship is reliable.

Keeping the images on the Shopify order gives customer service and operations a shared reference. They do not need to search a warehouse phone, a chat thread, or a date-based folder and then guess which pictures belong to the case.

The CodaScan Shopify workflow

    Pair the device

    Open CodaScan in Shopify Admin and use its pairing QR code or pairing code to connect a licensed warehouse phone.

    Select the Shopify configuration

    Choose the saved configuration for the correct store before starting a new record. The record keeps that provider snapshot even if the active workflow changes later.

    Identify the order

    Scan a QR code or barcode containing the Shopify order number, or enter the number manually when a code is missing or damaged.

    Photograph and finish

    Capture the agreed evidence set and finish the record. CodaScan uploads immediately when possible or keeps the work queued while offline.

What is added to Shopify

CodaScan looks up the Shopify order by its order name, uploads each image as a Shopify file, and adds the file reference to an order metafield. The default metafield is codascan.fulfillment_photos and uses Shopify’s list of file references, allowing several images to remain associated with the same order.

A configuration can also add a short event to the order timeline when a photo is uploaded or removed. This is optional. The image reference on the order remains the durable relationship used by the integration.

What happens without internet

The operator can identify the order, take photos, and complete the record without a live connection. CodaScan stores the record locally and the background sync resumes when the device can reach Shopify again.

Order lookup and file delivery require connectivity, so an offline record is not visible in Shopify immediately. The important operational difference is that the warehouse employee does not need to repeat the capture or manually transfer the files later.

Define a useful fulfillment photo standard

  • Show the packed contents before closing the parcel when contents are the question.
  • Keep the order, SKU, serial, or product label readable when it is relevant.
  • Use one wider context image and add close-ups only for details that matter.
  • Photograph visible damage, unusual packaging, or substitutions as exceptions.
  • Test that another person can open the Shopify order and understand the evidence without asking the photographer.

Frequently asked questions

Can staff type the Shopify order number instead of scanning it?

Yes. The order number can be entered manually when a QR code or barcode is unavailable or damaged.

Do fulfillment photos upload while the phone is offline?

No upload can happen without connectivity, but capture remains available. CodaScan queues the record and resumes the Shopify upload when internet access returns.

Where are the images stored in Shopify?

CodaScan uploads the images as Shopify files and references them from the matching order through a list.file_reference metafield.

Can one device work with more than one Shopify store?

Yes. A device can pair with multiple stores and use named configurations. Select the appropriate store workflow before starting a new record.
