More than photos in a folder

CodaScan connects frontline capture to the SharePoint structure your team already uses. Configure the destination, capture complete evidence offline, and keep every photo tied to the right operational record.

Two SharePoint workflows

File evidence the way your operation works

Upload photos as organized files or attach them to records that already exist in a SharePoint list.

01

Upload to a folder or library

Create structured photo files in the SharePoint destination selected by your organization.

  • Automatic filenames based on the scanned or entered identifier
  • Photo metadata mapped to configured SharePoint columns
  • Organized uploads without asking operators to navigate folders
02

Match an existing list entry

Use the scanned code to find an existing SharePoint row, attach the photos, and update selected list columns.

  • Match on a text, number, or choice column
  • Attach evidence directly to the corresponding operational record
  • Write captured values and automatic timestamps back to the list
SharePoint / 01

Use SharePoint as the source of truth

CodaScan fits the destination and data model your organization controls.

01.1

Customer-controlled destination

Choose the SharePoint site, library, folder, or list used by your team instead of creating another isolated photo store.

01.2

Record-level matching

Find an existing list item from its barcode and place the evidence directly on that record.

01.3

Mapped business context

Select the photo metadata or list columns operators should see and keep the resulting evidence searchable.

Deployment / 02

Configure once, apply across devices

Keep frontline setup consistent without repeating the complete SharePoint configuration on every phone.

02.1

Saved SharePoint configurations

Name and save destination, matching, metadata, offline, and deletion settings as reusable configurations.

02.2

Account-synced setup

Make saved configurations available to licensed devices and remove configurations centrally when they are no longer used.

02.3

Choose the right workflow

Switch the active configuration before capture or select a different eligible configuration for an unsent record.

Offline operations / 03

Keep the whole task moving without signal

Offline support includes the operational context around the photo, not only the image file.

03.1

Queued background sync

Capture identifiers, photos, and metadata offline. Uploads resume when connectivity returns, with visible sending and synced states.

03.2

Offline code autocomplete

Cache selected SharePoint list codes on the device so operators can search and select records without a live connection.

03.3

Draft, resume, and search

Leave an incomplete capture as a draft, resume it later, and search local records by identifier.

Structured capture / 04

Collect the right context with every photo

Give operators fast field controls that stay practical during repetitive warehouse and inspection work.

04.1

Scan values into metadata

Use the camera to scan a QR code or barcode directly into a metadata field, not only as the main record identifier.

04.2

Fields that fit the checkpoint

Use text, number, choice, boolean, and date/time values. Auto-fill capture timestamps and choose whether a value clears or stays for the next photo.

04.3

Correct and extend the record

Edit an identifier after capture and add local custom metadata fields when extra operational context is needed.

04.4

Multiple identifiers, one photo set

Scan or enter several barcodes or order codes for the same capture session. Take photos once and CodaScan delivers the evidence to every linked record.

Evidence control / 05

Review and manage evidence on the device

Operators can verify the photo set before and after it becomes part of the operational record.

05.1

Order history and gallery

Review photo previews, open a full gallery, return to the camera for more evidence, and remove individual photos.

05.2

Explicit deletion behavior

Choose whether local deletion also removes SharePoint files or attachments, and whether a matched list entry is preserved.

Operational use / 06

One capture system, multiple checkpoints

Apply the same identifier-led evidence workflow where products enter, move through, and leave the operation.

06.1

Returns inspection

Record returned-item condition, packaging, serial or SKU, and the evidence needed for grading or a claim.

06.2

Inbound damage and receiving

Tie photos of damage, labels, seals, and received condition to the delivery, product, pallet, or batch code.

06.3

Packing, loading, and dispatch

Document contents, quantities, pallet condition, seals, and loading before an order leaves the site.

06.4

Quality checkpoints

Capture repeatable visual proof and metadata at production, inspection, or handling steps—even in offline areas.

Security & privacy

Your data stays between your device and Microsoft

SharePoint sign-in tokens remain in secure device storage. Photos and metadata upload directly from the device to your Microsoft 365 tenant. CodaScan servers never receive or store credentials, photos, or operational evidence.

  • Credentials stay on the device in iOS Keychain or Android Keystore
  • Photos go straight to your SharePoint — never through our servers
Clear product boundary

A focused evidence workflow—not another ERP or WMS

CodaScan does not replace your warehouse, quality, or enterprise system. It removes the manual gap between taking an operational photo and finding that evidence later in SharePoint.

Built around real workflows

Need a capability that is not listed yet?

Tell us what is slowing your team down. When a missing feature fits CodaScan and would help other operations like yours, we can often build it during your pilot at no additional cost.

Discuss your workflow

Fits the product

If a capability belongs in CodaScan and strengthens the product for other teams too, development may be included in a pilot at no extra cost.

A substantial shared feature

Larger reusable improvements can be delivered through co-development or an agreed license commitment.

Specific to your organization

Exclusive integrations and highly tailored requirements are scoped separately, with a clear proposal before work begins.

Test it in your operation

Start with one device and one real checkpoint

Use the two-week trial to test capture, offline work, SharePoint delivery, and retrieval with your own identifiers and evidence standard.
