CodaScan

WooCommerce packing photos your support team can find

A question about a parcel should not mean searching through warehouse phones. Keep packing and condition photos on the WooCommerce order so your team can investigate with something concrete.

Download the WordPress plugin

Install this ZIP on any WordPress store running WooCommerce. Upload it under Plugins → Add New → Upload Plugin, then activate CodaScan for WooCommerce.

Requires WordPress 6.0+, WooCommerce 8.0+, and HTTPS on production stores.

Before you start, you will need

  • A CodaScan account (free trial available)
  • The CodaScan app on an iPhone or Android phone (used in the warehouse)
  • WordPress admin access on the store where WooCommerce is installed
  • WooCommerce 8.0 or newer, with HTTPS enabled on production stores

How it works (big picture)

1. Install the plugin

Upload and activate CodaScan for WooCommerce on your WordPress store.

2. Pair your phone

Open WooCommerce → CodaScan in WordPress admin and scan the pairing QR code on the warehouse device.

3. Scan & photograph

Staff scan or enter the order number, take photos online or offline, and CodaScan attaches the queued images to that WooCommerce order.

Tip: the mobile app talks directly to your store REST API. No CodaScan backend credentials are stored in WordPress.

More answers, less photo chasing

Keep the packing record where your team already works

Give warehouse staff a short photo routine and support staff a record they can open from the order. No extra photo portal to keep up to date.

Keep working through connection gaps

Photograph the parcel before it leaves, even without signal. Uploads resume when connected, and cached order numbers remain available for offline selection.

Make each packing check consistent

Require product scans, photos per item, or a final order photo. Choose what staff must capture before finishing the record.

Keep photos under your store’s control

Keep the evidence in your WordPress storage or configured S3 storage, linked to the order. You do not need a separate CodaScan photo library.

Give colleagues the context they need

Optional private order notes help colleagues see when photos were added. Choose image quality and deletion settings to fit your record-keeping process.

Saved configurations

Move between jobs without setting up the phone again

A shared phone should not slow down the next job. Save each team’s destination and photo requirements once, then choose the right setup when you change tasks, customers, or sites. Switching providers or stores requires a CodaScan license that covers them. Provider-issued subscriptions may restrict which configurations you can use.

One phone for the next job too

Photograph incoming deliveries in a SharePoint, Dropbox, or Google Drive workflow, then switch to WooCommerce to attach packing photos to outgoing orders.

Keep each client’s work easy to find

Fulfilling orders for more than one connected WooCommerce store? Select the store’s saved configuration before scanning an order on the same phone.

Give staff the right prompts for the task

Save a simple order-photo workflow or one with product scans and photos per line item. Select the configuration that matches the packing checks needed.

Move on without mixing up earlier work

Changing configurations applies to new records. Photos already captured keep their original destination, including uploads waiting for a connection.

Operational benefits

Less chasing photos. More time for the job.

Orders · batches · products · assets · inspections

01

Answer questions with photos

When a customer or colleague asks about an item, use photos linked to its reference instead of relying on memory.

02

Keep working offline

No signal? Keep documenting. CodaScan stores the work on the device and resumes uploading automatically when internet access returns.

03

Find records without hunting

Photos arrive on the matching commerce order or in the configured SharePoint, Dropbox, or Google Drive destination—not scattered across phones and messages.

04

Finish the job, not a second round of admin

Skip the cable, computer transfer, renaming, and manual upload. Once captured, photos follow the destination you have set up.

Setup guide — follow in order

Part A — Get CodaScan on your warehouse phone

Do this first on the phone your team will use to take photos.

  1. Create a CodaScan account

On your computer, go to getcodascan.com and create an account. Complete checkout or start a trial so you have an active license.

  2. Install the CodaScan mobile app

On the warehouse phone, install CodaScan from the App Store (iPhone) or Google Play (Android).

  3. Activate the license on that phone

Open the activation link from your CodaScan account (or scan the QR code from your account page). The app will register that phone to your license.

Part B — Install CodaScan on WordPress

This connects your WooCommerce store to CodaScan so photos can be saved on each order.

  1. Download the plugin ZIP

Use the download button at the top of this page, or run make publish-woocommerce from the CodaScan repository if you build from source.

  2. Upload in WordPress admin

Go to Plugins → Add New → Upload Plugin, choose codascan-woocommerce.zip, then Install Now and Activate Plugin.

  3. Confirm WooCommerce is active

CodaScan for WooCommerce requires WooCommerce. Install or activate WooCommerce first if it is not already running.

Part C — Configure and pair devices

Review storage settings and connect licensed warehouse phones.

  1. Open WooCommerce → CodaScan

Review order meta key, order number format, order notes, and photo storage (WordPress media library or Amazon S3).

  2. Pair the warehouse phone

Scan the pairing QR code shown in WordPress admin, or open the pairing link on the device.

    • On the phone: open CodaScan → Settings → WooCommerce.
    • Scan the QR code or enter the store URL and pairing code manually.
    • Tap Pair. When it succeeds, the phone is linked to your store.
  3. Save the WooCommerce workflow

Choose how order numbers are matched, which statuses are cached for offline autocomplete, which product-verification checks are required, camera quality, and whether local deletions remove the remote file. Save the configuration with a clear name.

Part D — Capture photos in the warehouse

  1. Select the WooCommerce workflow

In CodaScan, choose the saved WooCommerce configuration before starting a shift.

  2. Scan or enter the order number

Use the barcode on your packing slip, a QR code, or manual entry for the WooCommerce order number.

  3. Take photos and sync

Capture as many photos as needed. If the connection drops, uploads stay queued and resume automatically when the phone is back online.

Test the workflow

Place a test order, pair a phone, capture one photo, and confirm it appears on the order in WooCommerce admin with a proof link in order notes (if enabled).
